Microsoft Introduces Teams External Collaboration Administrator Role

Microsoft is expanding its administrative capabilities in Teams by introducing a new built-in role called Teams External Collaboration Administrator.

This specialized RBAC (Role-Based Access Control) role enables organizations to delegate external collaboration management without granting full Teams admin permissions, providing a more granular approach to security and access control.

Rollout Timeline and Availability

The new role will begin rolling out in late January 2026 and is expected to be fully available worldwide by mid-February 2026.

The deployment will occur automatically across organizations with no action required before launch, ensuring a seamless transition for IT administrators.

This new role primarily affects administrators managing external collaboration settings. Organizations can now implement the principle of least privilege by delegating specific external access management tasks without elevating users to full Teams administrator status.

The feature provides granular control over federation policies while maintaining security boundaries.

The Teams External Collaboration Administrator can create and manage External Access Policies, configure which federated domains are allowed or blocked, and control federation settings across the organization.

However, the role is exclusively managed through PowerShell, requiring administrators to use command-line interfaces for all configuration tasks, with no admin center portal access available.

Global administrators can assign or unassign this role in either the Microsoft Entra admin center or the Microsoft 365 admin center, providing flexibility in role management.

However, the role cannot be scoped to specific Administrative Units, meaning assignments apply at the organizational level rather than to segmented portions of the organization.

Organizations should prepare communication plans and documentation updates during January 2026 to ensure teams understand the new administrative capabilities when the role becomes available.

IT leaders should revise internal policies and training materials to include the Teams External Collaboration Administrator role in administrative procedures and identify team members who manage external collaboration for potential assignment.
